When you use GuestHive, messages to your guests are generated with the help of artificial intelligence. Towards your guests, you are the controller under data protection law. This page summarises what that means for you and provides wording you can use in your own privacy policy.

What GuestHive handles for you

Your guests are informed automatically that an AI assistant is replying. The notice goes out with the first message generated by AI.

You can adapt the wording in your message templates to your own style. If the notice is missing there, GuestHive adds it by itself, so that no guest receives an AI reply without knowing it.

This covers the transparency obligation under Article 50 of the EU AI Act.

What you should add yourself

Your privacy policy should tell your guests that their messages are processed by a service provider. You can use the wording below. Please adapt it to your circumstances and have it reviewed if in doubt.

Use of an AI assistant in guest communication

To answer your messages we use the GuestHive platform, which generates replies with the help of artificial intelligence. This processes the content of your messages together with the details belonging to your booking, such as name, arrival and departure dates and the property, to the extent required in order to answer.

The legal basis is Art. 6(1)(b) GDPR for the performance of the accommodation contract and Art. 6(1)(f) GDPR on the basis of our legitimate interest in looking after our guests promptly.

GuestHive acts as our processor pursuant to Art. 28 GDPR. A language model provided by Anthropic, PBC, USA, is used to generate the text. The transfer to the USA takes place on the basis of the European Commission’s Standard Contractual Clauses. Your messages are not used to train AI models.

You can recognise messages from our AI assistant by the corresponding notice. If you would rather speak to us directly, just let us know.

Your own AI literacy obligation

Article 4 of the EU AI Act requires deployers of an AI system to ensure that the people working with it have a sufficient level of competence. If you let staff or service partners work with GuestHive, brief them on the basics and make a short record of it.
